SEEKING CANDIDATES FOR SGS DIRECTOR OF OPERATIONS
The Director of Operations has three main areas of responsibility. These include information management, infrastructure maintenance and the purchase of supplies and equipment.
Information management is the most time consuming element. The Director is responsible for picking up incoming mail and packages at the USPS Wedgwood Station, recording everything received in a mail log, processing and distributing items to the appropriate officer or committee, and tracking items with deadlines. Mail pickup once or twice a week is usually considered sufficient; however, there are four intense periods where more frequent visits will be required. These are the months preceding the Spring and Fall Seminars, Summer membership renewals, and the Winter Annual Appeal. The Director is responsible for ensuring all incoming checks are processed and submitted to the Treasurer in a timely manner. He/she prepares expense vouchers for services and bills, and also serves as one of three signatories on all Society checks and accounts. The Director is also responsible for responding to all emails coming in to the Society’s website.
Infrastructure maintenance includes maintaining the building physical plant consisting of a 2700 sqft library with a bathroom and small kitchen, and maintaining the installed electronic equipment including computer hard drives, monitors, printers, routers and projection equipment. The Director maintains building security and issues keys to individuals based on the established policy. The Director maintains equipment files containing instruction books, warranties, service contracts, bills of sale and maintenance records, and monitors electronic equipment for on-going maintenance requirements, such as printer toner replacement. The Director maintains bulletin boards with announcements and educational offerings and assists whenever possible with setup and takedown of tables, chairs and projection equipment for Society events. The Director is also responsible for collection and removal of all garbage, yard waste, and recycling from the Library in accordance with City of Seattle guidelines.
Purchase of equipment and supplies is the final responsibility. This runs the entire gamut from computer hardware and software to consumable paper products, office supplies, fluorescent lighting, pop-up canopies and plumbing repair parts. The goal is to maintain stock at a reasonable, sufficient level, while still purchasing quality items at the lowest price possible.
